Room Booking Submission Requirements:

  • Clubs MUST submit forms at least 7 business days prior to the event for CATS Room Bookings. 
  • For Venue & Events locations, Clubs MUST submit a form at least 21 days prior to their event. 
  • If you're booking a CATS Room during class hours (9AM - 6PM, Mon - Fri) your bookings should be limited to 2 hours or it will be unlikely to be approved due to limited room availability.
  • Clubs cannot book CATS Rooms to use as a study space or to conduct interviews.


The first business day will commence from the date of the first business hour you submit your booking! If you submit on Friday at 5pm, the first business day is the following Monday.

Office hours are 9AM - 5PM Monday - Friday (excluding Public Holidays).

Submission of a form does not guarantee a booking will be provided. You will be informed if your event booking is denied.

Due to COVID safety requirements, some activities will have increased and specific safety requirements. 


CATS Room Bookings Terms and Conditions

  • Food and beverages are not permitted inside any theatre or CATS room.
  • The student representative submitting the CATS Room Booking Form accepts full responsibility for the event.
  • The Club/Society may not transfer or book on behalf of any other student organisation or third party, including event sponsors. Any event that has sponsorship may be required to pay for venue hire. Any Club/Society that breaches this term will have all booking privileges withdrawn.
  • Charged activities (registration fee, ticketed events etc) are not to take place in any facility provided for free. Any Club/Society that breaches this term will have all booking privileges withdrawn.
  • 75% of the attendees/audience must be enrolled students of UNSW or alumni, proof of identity (student card) may be required.
  • UNSW Timetabling, UNSW Venue & Events and UNSW Security reserves the right to verify the identification of students making reservations by asking for valid photo identification with proof of address for invoices.
  • It is the responsibility of the student representative to leave all facilities in their original condition. Facilities that require special cleaning will be charged back to the Club/Society at a rate of $55 per hour for each staff member required for cleaning, with a minimum of one (1) hour per person. Special cleaning includes but is not limited to clearing of excessive rubbish, boxes, pamphlets, removing flyers, posters or directional signage and other event supplies.
  • In venues with movable furniture, all furniture must be returned to its original position or cleaning charges may apply.
  • Facilities that require repair due to damage caused by the event will be repaired and charged back to the Club/Society (with due consultation). 
  • It is recommended that student groups purchase one off public liability insurance for events that include external participants.
  • Reservations may only be made by those student organisations that are in good financial standing with Arc and UNSW.
  • As per the UNSW Venue & Events locations Hire Agreement Terms and Conditions, full payment for the facility is required at least five (5) days prior to the day of the event for events organised by UNSW Hospitality.
  • Food being provided at UNSW Venue & Events locations must adhere to catering agreements in addition to Hire Agreement Terms and Conditions.
  • Student organisations with accounts more than thirty (30) days in arrears will have all booking privileges suspended until the account is paid in full.
  • Room bookings cannot be transferred to any other student organisation or third party including event sponsors. Any event that has sponsorship is required to pay for venue hire.


The applicant is the designated representative of the UNSW Student Club or Society and accepts full responsibility for the event or activity taking place in the facility(s) and any financial/contractual arrangements between the Club/Society and Venues and Events/CATS UNSW. Failure to comply with the terms and conditions will lead to suspension of future bookings.
